Ready to systemize your success, let's get started. Welcome to the systemized business. Here we dive into strategic productivity to help you overcome entrepreneurial overwhelm.
Bk:I am BK and I do not believe that you have to be a slave to your business. You can streamline both your business and your life with simple systems. So, whether you're a female entrepreneur navigating the fast-paced world of business, this podcast is your go-to resource for simplifying processes, optimizing efficiency and achieving more with less stress. Let's get started on building the systems that will take you from overwhelmed to in control. I've said this once before time management isn't about getting stuff done. It's about structure and consistency. Structure provides us with a sense of security and relief to each day. It decreases the need for worry or time-wasting thoughts. If you already know how the first three hours of your day are going to go, you don't need to wake up and wonder how the next three hours will go, because you already know. You have a system Working within a structure, no matter how subtle, provides us with so many benefits.
Bk:By having a routine, you're more likely to not just be more productive but also feel better all around. You'll get sounder sleep, feel less stressed and have a stronger ability to focus on each task at each designated time of day. You can begin thinking about your routine by splitting your day into sections. Begin with the first hour. What does your first hour of the day look like? Try to spend the first hour of your day off technology. Avoid checking your email or responding to text messages. And and of course, I know that this is easier said than done. In fact, I really struggle with this one because sometimes I find myself already reaching for my phone and my email is open just like that. It literally is like an automatic response. So I am working hard on reducing and hopefully eliminating this habit altogether, Because I want to take that first hour of my day just for myself, just for my personal development just for me, getting clarity on what I want my day to be, so that I can then transition into my day with clarity and focus.
Bk:And this kind of this reminds me of Robin Sharma's book, the 5AM Club. I read it years ago and I, soon after I read it, even while I was reading it, I started implementing what he taught in there and I'll tell you I was the most productive I have ever been. And thinking about it now and even telling you this challenges me to revisit some of those lessons, to get back to that frame of thinking and living. One of the things he teaches in being in the 5am club is to prepare, to think through, to strategize for the day ahead. Of course, being called the 5am club means, you know, waking up at 5am, so there's that. But it really does give a greater sense of stability and direction for the day because you are creating that time to actively plan and strategize your day. So check that book out. If you have not read it yet, it might actually change your life.
Bk:So consider your daily routine now. Ask yourself these questions about your day. Let's start with your morning. So your morning routine what is the first thing you want to do each morning? What is the second thing you want to do each morning? What will make your mornings feel like a success and what is the most important daily task you'll do each morning? So these are things to think about. What about your night routine? How do you want to end your day? How will you wind down from your day? What is the most important task you want to do each night and what task will help you feel a sense of completion about your day? So what are the most important things you want to get done in the morning and what are the most important things you want to do in the morning?
Bk:Accumulate small successes early in your day and this will help you feel confident and ready to tackle your day with focus and intention. For example, something so simple is starting your day by making your bed. This might seem so insignificant. You might even do this without even thinking about it. You might even do this without even thinking about it, but there is power in just starting your day with a made bed. It is refreshing and it's a success right off the bat. It lets you know that you are officially beginning your day. It gives you success right away and a nicely made bed right for you at the end of each day is like a gift. It's a gift that you give yourself and, like I said, you might even be doing this and experiencing this on autopilot, and that's okay. Find something else. Find another small thing that you can do to start your day with success.
Bk:Think about the rest of your day in sections as well. What do you do before work? When do you take breaks? When do you eat? Consider some of these questions as you walk yourself through your own day.
Bk:Once we have basic routines that take care of the little stuff, take a look at your long-term goals and come up with a daily system. Create your system based on what's right in front of you. Though you have goals, it's actually the system that you have in place that will help you reach those goals. So that is actually a better use of your time and your productivity. You might be asking okay, so what's the difference between goals and systems? Well, goals motivate us to become the people that we want to be. They guide us through, you know, those uncertain parts of life by providing us with that light at the end of the tunnel. Goals determine our values and our ambitions and the way we want to live our lives. So we look at the future and the bigger picture of our life in the long term when we set goals. Systems, on the other hand, zoom in on the day-to-day, the minute-by-minute details on the actions that will actually bring our long-term goals to fruition. So if you spend all your time looking at the goal on the horizon, you might lose track of the step you actually have to take, and that step is right in front of you. So, instead of only focusing on the future, look at this exact moment. Look at each moment and the role it plays in moving you towards the goal that you have set.
Bk:So, in order to create your system in the most effective way, you must start by setting your goals right. Big picture goals are based on the lifestyle, the career path that you want to pursue, and then the systems are the building blocks to get to those goals. So think about following this process to set long term goals. What do you consider success? Do you want to accumulate a fortune, accolades, community? Think about what your life will look like when you feel that you've reached your full potential.
Bk:Okay, now zoom in on one aspect of your desired outcome. For example, consider, let's say, what job, what kind of business would you like to have? What kind of person do you want to be five years from now? 10 years from now, what would you like to have accomplished? And then time your goals. Think about how long it might take for you to get to your goal. This will help you then visualize this goal. Be careful not to take on too much. You want to set yourself up for success instead of disappointment. So it really means being realistic. If it is a one-year goal, then be realistic with what you can accomplish in one year. If it's three years, then same thing From there.
Bk:Once you have your long-term goals set in place, you'll be able then to set up your day-to-day system. Break down this goal of yours into six-month intervals or three months or month-to-month breakdown. Then you can look at okay, for me to reach the one-year goal, I need to have need to break it down into six months. I need to break it further, break it down to three months. I need to further break it down to month to month and then from the month to the week and then from the week to the daily, right? So now you're thinking about the specific things you need to do on a weekly and a daily basis to take constant steps towards the bigger destination. Your system consists of daily things you do and focus on that move you toward your long-term goals. So by creating your daily system, you'll be able to let go of the future and focus on enjoying this present moment.
Bk:You don't need to worry about your goal when you're following your system, because success is built into each day. For example, imagine you have a goal to write a 300-page book in this year, 2025. Questions you need to ask yourself is what do you need to do each day to reach that goal? So now, breaking down each page into month sections and taking one day off per week, you could realistically write, let's say, 500 words per day. So what time of day are you going to be writing? You see how you have broken up this large goal into actual, doable steps. So now the question is what time of day are you going to write? So you see the beauty of systems when there's a long-term goal, the small steps support that goal. So you don't need to keep your eyes on the price. You only need to keep your eye on this present moment and by doing this, you will experience less stress and a greater likelihood of success. So the steps you take each day to work toward the finish line can be seamlessly placed through each day of your life. Set up the rest of your day to reflect the goal that you want to work towards. Okay, friends, thank you for joining me today.
Bk:One thing I want to keep emphasizing is that mastering your time is not about crossing off hundreds of tasks as you have on your list. It really is creating a rhythm that resonates with your deepest goals and with your values, Building daily systems. You're not just planning and organizing and reorganizing your time. You're actually designing and crafting your life. So take some of these ideas. Start small, think systematically and watch how your days begin to align more closely with the goals that you have set.
