Speaker 1:Today we wrap up our time management series here on the Systemized Business Podcast. You know, this January we've really been taking a deep dive into reshaping our daily lives, shedding habits that hold us back and adopting new practices that will really put us on the path and drive us forward. In today's episode, we'll recap the powerful strategies that we've explored, from optimizing our peak productivity hours to mastering the art of focus and prioritization. If you are just joining us, this episode will give you a comprehensive overview, but be sure to revisit the entire series to catch every detailed discussion and tip. Take notes, implement some of these ideas and let's make this year the best and most productive one. Yet we are letting go of the habits that no longer serve us or our businesses. That's why I did this time management series to slow down in order to speed up. I know that acquiring new time management skills and really strengthening the good habits will be that secret sauce to the greater, to a greater spark of productivity that will see me through the rest of the quarter and, you know, into the next one and the next one. So remember we talked about last episode it's the system that will lead you to the goal. Without the system, you have no way of reaching and realizing your goals. It's your literal path to success. You don't have to extend or expend extra energy and worry to the organization of your day. Regular practice and implementation of the few simple skills can actually save you time so that you can better focus on what's important in the current moment.
Speaker 1:So we began the series by considering when we are the most productive, taking stock of what your days currently look like and making realistic adjustments in order to use our time most effectively. So using our highest alert times to take care of your highest priority items. Scheduling our meetings and free times according to the ebb and flow of our days. Creating our ideal setting for productivity. Thinking about where we feel the most comfortable, the most productive. Finding an accessible and a consistent setting where we can focus and get into the flow of our workday.
Speaker 1:Looked at choosing one task to focus on at a time. Letting go of multitasking habits, tasks switching context, switching habits that really halt our productivity, diminishing the quality of work and just giving us more stress. Using strategies that limit distractions and help us maintain our focus. We learned that it takes around 25 minutes to refocus on a task once you've broken focus. So switching from task to task is unproductive and will end up wasting time. So it's best to focus on each task as it comes and completing one task before moving on to the next. A day with one complete project is a successful day, more successful than a day with two incomplete projects.
Speaker 1:Third, we looked at the importance of each task ahead of you and eating that frog. You remember that, Depending on time constraints and the level of focus that you have, prioritizing your tasks. We went through how to use the Eisenhower matrix to help us know which tasks were urgent and important, important but not urgent. Important, not important, not urgent, not urgent, but important. And taking advantage of your most mentally alert times again to begin your work with the most important task eat that frog and get it out of the way. But what if things don't go to plan? Despite all the planning that we may do, many of our days can go in different directions, and remaining flexible is key, and being able to face distractions or interruptions and referring back to our prioritized list help us make decisions about how to use limited amounts of time. Fourth, we talked about being attentive to our time, taking care to notice how we spend each of our days and making sure that the day doesn't become daunting or overwhelming, but planning mindfulness breaks, being conscious and being in the moment will help our day go at an even pace. And taking a step back every 90 minutes of deep work time. This helps us maintain a consistent working pace and helps us manage our quality of focus and improve our quality of focus too, and this is a simple and consistent routine.
Speaker 1:We thought of our days in sections. We considered what each of our day looks like, beginning with the moment we woke up, what our evenings should look like or how we want them to look like. And in the fifth episode of this series, we discussed ways to develop and sustain an efficient system, A system created based on our long-term goals instead of constantly looking toward the future, bringing our attention back to what we can do each day. That will inevitably lead us to our goals. We got clear on what our goals were, what our big picture ideas for our lives were, and then we thought about the systems, the small daily steps and the processes that lead us to achievement, that lead us to achieve those bigger goals. And then, finally, we talked about creating a schedule that works for you, looking to maximize your focused hours so that you have time for play as well. Knowing our limits is good for us, good for our work, good for the people around us, and these limits are different for each of us.
Speaker 1:If your daily schedule is derailed in some way, that's okay. Do your best to get to every task. If you plan an hour but you only have 20 minutes, spend a focused, productive 20 minute period on that scheduled task. We are looking for done, not perfect. We want to build that habit of sticking to the schedule as much as we can. If we can't for some reason on some days. That's okay. Do what you can. Tomorrow is another day.
Speaker 1:Another thing we talked about is categorizing sections of our days based on similarity of you know the different tasks that we have. If we have administrative tasks to do, then do them all in the same part of your day, or pick a day that you do all those tasks. And another thing we talked about was spending less time checking email, scheduling times to check your email, to take care of those responses during planned parts of your day. Otherwise, email and text messages can take over your day and completely derail your schedule. It's not easy at first, but as you continue to consciously craft your day, you get into a rhythm that works and then it will become second nature.
Speaker 1:And, of course, in all this productivity talk, we talked about making intentional time for fun. This really makes sure that you have an intentional, consistent and stress-free quality of life. Life can get busy, business can get busy, but you should make time to think so. Take a step back to relax, spend time with family, spend time doing something fun, pick up a new hobby and just keep burnout at bay by just scheduling time to really decompress and to really reset. A natural consequence of time management is an increase in productivity. Distractions and worries are minimized when your days are simplified and systematized.
